A useful headlight switch RFQ does more than request a price against a photograph or shortened OE number. It defines the vehicle and market, complete reference chain, connector and pinout, function matrix, electrical architecture, mounting, appearance, validation, traceability and commercial conditions. Sample approval then proves only the agreed configuration and evidence—not every similar-looking switch.

Freeze Vehicle and OE Reference Evidence
Record the VIN range or vehicle attributes used by the customer, but do not treat a decoded VIN as interchange proof. Capture production date, market version, left- or right-hand drive where relevant, trim and lighting options. Provide photographs of the original label and connector in addition to the typed OE number.
Use the headlight switch OEM-number cross-reference guide to document prefixes, suffixes, supersessions and evidence confidence. A supplier should identify whether its reference comes from an approved drawing, sample comparison, catalog mapping or customer declaration. If sources conflict, keep compatibility open until the customer resolves it.
Define Fit and Mounting
Provide controlled dimensions or a master sample for panel opening, clips, screw points, bezel curvature, depth, shaft or knob clearance and connector access. Specify cosmetic surfaces, symbol location, color and illumination appearance only through approved requirements or physical masters.
Sample inspection should check more than whether the part enters the opening. Confirm latch engagement, panel flushness, harness clearance, connector insertion, knob travel, detents, pull or push actions and freedom from adjacent trim interference. Record the measuring method and drawing revision for every critical dimension.
Build the Function and Pinout Matrix
List every mechanical position and action in rows, then identify expected electrical or decoded state in columns. Include illumination and telltale behavior. Do not publish or accept a universal pinout, resistance, voltage, current or durability limit without product-specific documentation.

Sample Planning and Validation
Define Validation Without Inventing Limits
State sample quantity, conditioning, sequence, equipment and acceptance source for each required check. Depending on the project, evidence may include dimensional inspection, switch-state function, contact resistance or loaded voltage drop, illumination, actuator force or travel, terminal retention, endurance and specified environmental testing.

Values must come from the approved drawing, customer specification, vehicle procedure or qualification plan.
AIAG describes PPAP as the production part approval process used to demonstrate that engineering design records and specification requirements can be met consistently during an actual production run. Apply PPAP only when required by the customer and agree the submission level and documents; do not label an informal sample review as PPAP approval.
Plan Sample Quantity and Identity
Separate appearance or fit samples, functional samples and destructive validation samples. Define whether units must come from production-intent tooling, materials, processes, site and rate. Assign every unit a sample ID linked to part revision, lot, build date and deviations.
An untracked hand sample cannot become a reliable golden sample. Seal or otherwise control approved masters, record photographs and approval signatures, define storage and replacement, and specify which attributes the master controls. A visual master does not override dimensional or electrical requirements.

Use a Practical Sample Record
Use a vertical record with field and required entry columns. Include sample identity; vehicle and OE scope; connector and pinout revision; function matrix; dimensions; test equipment and calibration; test conditions; raw results; acceptance-source clause; deviation; failure mode; pass/fail; reviewer and date. Link large raw files rather than compressing evidence into a single comment cell.
Invalid tests and retests need rules agreed before execution. Record what invalidated the result, who authorized the retest, whether the original result remains reportable and which sample was used. Never discard an unfavorable result by calling it a setup issue without objective evidence.
Approval, Packaging and Change Control
Approval Status Definitions
Do not use “approved” without stating what has been approved. Record one of these controlled statuses and the evidence supporting it:

Conditional and sample approvals must not silently become permanent production approval through repeated purchase orders. The release record should identify who has authority to change status, which open actions remain, and whether expiration or a product change automatically suspends approval.
Packaging, Labeling and Receiving Approval
Define unit protection, connector and knob protection, inner quantity, carton limits, moisture or contamination controls where needed, label data, barcode format, lot identity and destination. A sample approved loose on a desk does not prove that production packaging prevents cosmetic, terminal or latch damage.
Receiving inspection should compare label and lot, part appearance, connector keying and terminal population, selected dimensions and function against the approved record. Define sampling, reaction and containment for mismatches. The approved sample assists comparison but does not replace drawings or test criteria.
Change Control After Approval
List changes requiring notification or reapproval: contacts, plating, terminals, springs, lubricant, resistor network, electronics, LEDs, symbols, housing resin, color, tooling, process, test software, sub-supplier, site and packaging. The customer should define submission timing, risk assessment and regression evidence.
Temporary deviations need affected quantity or date range, traceability, approval, expiration and restoration verification. A commercial purchase order should reference the approved part revision and quality agreement so that price negotiation does not silently change technical scope.

Technical approval and commercial quotation should reference the same scope. Ask the supplier to complete, rather than assume, the following fields:

Approval applies only to the documented vehicle, OE chain, revision, function matrix, interfaces, test plan and deviations. It should not be extended to another model year, market or visually similar switch without evidence. Keep unresolved items visible in the quotation rather than converting assumptions into product claims.
Control Quotation Assumptions and Deviations
The quotation should list what is included, excluded and still awaiting confirmation. Separate tooling, validation, packaging, documentation and recurring part price where applicable, and identify the forecast, order pattern, destination and currency assumptions behind commercial terms. Do not promise timing until drawing review, sample scope and required testing are aligned.
When a sample differs from the requested specification, issue a numbered deviation that identifies the affected characteristic, reason, risk, quantity or time limit and required closure. Approval by email without a controlled deviation can later be mistaken for permanent design acceptance. Link every concession to sample IDs and ensure production release either incorporates the approved change or restores the original requirement. Record the approving name, role and date.
